An Invoicing Solution

As a CCIS technician, do you dread that inevitable build up of invoices that you need to deal with? Are you sick of blocking out time on your evenings and weekends when you should be unwinding, hutched over your computer typing job after job into an old Excel template?  How about getting paid later then you should due to postponing sending that invoice in?

Did you know that it can take up to 8 hours for us here in the office to approve an invoice that conflicts with a signoff? Or that the number one complaint of CCIS customers is that invoice details do not match signoff details? 

We think we've found a solution to make everyone's lives better. Joist is an easy-to-use application that will allow you to:

  • Create clean and professional invoices, right from the worksite.
  • Eliminate those tedious paperwork sessions due to weeks of invoicing buildup. 
  • Enjoy quicker payment times due to invoices being submitted as soon as the job is complete. 

Joist was brought to our attention by some of you, our CCIS technicians. This course was created in hopes of sharing it with all of you belonging to the CCIS family. 


Joist Feature Overview

Invoicing Made Easy

Joist is a software application created by contractors, for contractors. It allows users to create and send clean, professional invoices right from the worksite. 

It includes features such as:

  • Saveable item lists to quickly add your frequently used items to any invoice (Sick of typing in that Minimum Charge item? Joist allows you to add it with a tap of your finger!)
  • Ability to send invoices from a mobile device. Complete your invoice at the same time as your signoff- get rid of those pesky end-of-week (or month) invoicing sessions! With Joist, its fast and simple to send an invoice at the time of work completion. 
  • Saveable customer lists to avoid re-entering the information for each company that you work for.  
  • Payment status traceability- keep track of which invoices have been paid and which are outstanding.
  • Easy data export into your preferred accounting system. Keep all your records in one place.

How to Sign Up

Head on over to https://my.joistapp.com/signup to create your free account. 

Once you have created an account, you can access Joist through either your Smartphone (iOS and Android supported) or the web browser of your choice. 

Next, go to the course section for the platform you would like to use to learn about how to get around within the application. You'll be a pro in no time!

Downloading Joist onto your Mobile device






Start by downloading Joist through the App Store on your Mobile device. Just search for "Joist" and click on Get to download it.

Opening Joist For the First time

Login Screen

Pictured above is the screen you will land on when you open Joist for the first time. If you have already created an account online, login now. If not, you can go ahead and register right in the app.

Register 

All you need to do to Register is enter the email address you would like to us, as well as a password and the industry you do work in. Most CCIS technicians already using Joist have selected "General Contracting" as their industry. 




Landing Page

Joist will automatically log you into your account every time you open it. You will land on the "Estimates" tab (Please note the use of estimates is not needed or encouraged when invoicing CCIS... however, the option is there if your other contracting work requires it) 

How To Log Out

If you wish to logout of Joist (thus disabling the auto login when reopened) follow the following steps:

  1. Tap"More" on the bottom right of the screen
  2. Tap"Settings"
  3. Tap the "Log Out" button

Creating Your Company

Navigate to the Company Information Screen

Lets start by entering your company information into Joist. To access the screen you'll do this at, follow the following steps:

  1. Tap on the "More" button in the bottom right of the screen
  2. Tap on "My Company"






Pictured to the right is the full Company Information screen. Just fill this out with all of your individual information, and we'll be ready to continue to the next step. Be sure to change "Acme Co." to your company name, and attach a logo if you have one. Remember to enter your Tax Number if you add taxes to the work you complete. 

Entering Your First Client





Next, lets go ahead and add CCIS as a client (a customer to whom you bill the work you have completed). To get to the client entry screen, you must: 

  1. Tap on the "Clients" button on the bottom bar.
  2. Click on "New Client" in the top right corner










To the left is the complete client entry screen. To create an entry for CCIS enter the following information into the designated fields as outlined in the below table.

Sending Your First Invoice 1/2



Its time to create your first invoice! To get to the invoice entry screen, you must: 

  1. Tap on the "Invoice" button on the bottom bar.
  2. Click on "New Invoice" in the top right corner

The first step to creating an invoice is designated which client you will be billing. To do this:

  1. Tap "Add Client" from the "Edit Invoice" screen
  2. Tap "My Clients"
  3. Tap "Saved Clients"
  4. Tap "CCIS"

Now we'll go ahead and create an item to put on your invoice. For this example, we will be using a Minimum Charge. To do this:

  1. Tap "Add Line Item".
  2. Fill out the Item Name, Quantity, and Rate (Price Per Unit) fields. Add Tax if you charge for it.
  3. Tap "Done" to return to the "Edit Invoice" screen.

Now that we have entered the item we want to invoice for, we just have a few more things to type in before we can send it off to CCIS' Accounting department. 

  1. Under Notes for Client, type in the type of work you completed and some site specific information (I've used the Site # in the example below). Also include the 9 digit Work Order number that you received when you were issued the job. 
  2. Be sure all options are toggled to the "Off" position under the "Contracts & Signature" section.
  3. Enter the timeframe in which you have been promised payment under the "Payment Terms (Days) field. This will help you track invoice submission dates vs. payment timeframes so you can always make sure your getting paid on time. 

Sending Your First Invoice 2/2

We'll just need to make a few adjustments to the invoice before we sent it off to CCIS. You should change the display options so that Quantity, Rate, and Total are all viewable on your invoice. Once you make these changes, your future invoices will automatically show them unless you toggle them off. To show them:

  1. Tap on the "More" button in the top right corner
  2. Tap "Display Options"
  3. Tap "Quantity", "Rate", and "Total". Green checkmarks should be visible to the right of each option.



To send the invoice:

  1. Tap "Send" in the top left corner. 
  2. Make any necessary changes to your invoice, and send it off when your ready!





See picture to the left for an idea of what your sent invoice will look like on the receiving end.

Invoice Management



You'll notice that on the "Invoices" screen, your Invoice status will change from "Draft" to "Issued" once you send your invoice out. 

A monthly total will also be displayed; you'll be able to see the total amount you have invoiced out for each month. 

You are able to switch this view from "Active" to "Paid" depending if you want to see information about invoices that are still have payments outstanding (Active) or invoices that have been paid in full (Paid)

One you have received your Telepay email notification informing you that CCIS has made a payment on your invoice, we can go ahead and change the status on Joist.

1. Tap on the Invoice you wish to record payment for. 

2. Tap on "Payments" at the top of the screen

3. Tap "New" in the top right corner

4. Edit the amount that is to be paid (you can either manually enter an amount or tap the "Full" button to default the paid amount to the full value of the invoice"

5. Tap "Done"


You will now notice that your invoices status has been changed to "Paid", and it is now viewable under the "Paid" option on the "Invoices" screen.



If you are required to revise your invoice, you can do so by:

1. Brining up the Invoice you wish to edit.

2. Tapping "Edit" in the top right corner.

3. Make any changes that you need to, and tap "Done' your ready. 

4. Be sure to tap "Send" in order to send your revised invoice to CCIS.

Upload Items Via Excel

It is possible to upload an Excel file of all the Items you wish to be able to invoice for right into Joist. To do this:

  1. First, you'll need to download the following file: https://www.dropbox.com/s/gkl3mv76zwoww31/Joist.CCISitemlist.csv?dl=0
  2. Next, log into Joist on your computer. You can find Joist online at  https://my.joistapp.com/login
  3. Click on the "Items" tab on the left side selection bar, and then "Import/Export"

3. Click on "Update My Joist Data In Bulk"

*If you already have items entered into Joist that you do not want to use, click on "Download your existing Joist items" instead. You should then copy over the items contained in the provided file to this list... you now have a list containing both the items you have entered as well as the most common entries used by CCIS technicians. 

4. Click on "Choose File" and select the Excel file that contains the item list you wish to upload.

5. You can go ahead an hit "Import" in the "Match the fields" window. You would only need to modify these if you are uploading an item list that has not been formatted for importing into Joist. 

6. All done! You can now see all the imported items in the "Items" window. They will sync to your Smartphone app and you will be able to add them to invoices there.

All done!
