Code of Business Conduct

We in Aberdeen expect from all our employees to act in a professional manner at all times. Certain conducts will not be permitted, especially when they could result injurious to security, personal safety and welfare of other employees, or could jeopardize the company operations. 

The violation of these standards may result in disciplinary action, up to and including dismissal. The following are non-exhaustive examples of behaviors that are considered as a serious misconduct:


  • Theft, damage, or destruction of any Company property or the property of any employee or client. 
  • Unreported absences.
  • Failing to keep confidential information pertaining to clients.
  • Violation of any safety, health, security, or other Company policies, rules, or procedures
  • Poor attendance, habitual tardiness and/or absenteeism.

Confidential information

The Company devotes significant time, energy, and expense to develop and acquire its trade secrets and confidential information.

Confidential information includes, but is not limited to, all customer lists, techniques and concepts, customer buying practices, customer buying preferences,marketing plans, design specifications, design plans, strategies, forecasts, bid plans, bid strategies, bid information,contract prices, new products, software, computer programs, writings, and all know- how and show-how whether or not protected by patent, copyright, or trade secret law. 

Information regarding employee benefits, including salary/wage information (other than the employee’s own salary/wage information), is also considered confidential .

As an employee of the Company you may, during the course of your employment, have access to and become familiar with various confidential data that are owned by the Company or its clients. Please be conscious that the disclosure or use any of this information other than for the sole benefit of the Company, either during the term of your employment or at any other time thereafter, is strictly forbidden.

Failure to comply with this policy may result in disciplinary action, up to and including termination. 

Computer Usage and Privacy

The Communications Systems of the company (networks, laptops, PC's, tablets, etc) are property of the Company and have been provided to employees for the sole purpose of conducting Company-related business. All communications and information transmitted by, received from, or stored in these systems are Company records and hence, property of the Company.

Electronic communications are a means of business communication. The Company expects all users to conduct themselves in a professional manner. Therefore all electronic communications are to be conducted with the same care, judgment, and responsibility that they would use when sending letters or memoranda written on Company letterhead. 

Special care must be taken when posting any information on the Internet because of the potentially broad distribution of and access to such information.To protect the integrity of the Company’s Communications Systems and the users thereof against unauthorized or improper use of these systems, the Company reserves the right, without notice, to limit or restrict any individual’s use, and to inspect, copy, remove, or delete any unauthorized use of its Communications Systems.

The Company also reserves the right periodically to monitor the use of its Communications Systems and to access users’ voice mail, Internet access, and e-mail for that purpose or any other business-related purpose. 

Information Security

Information stored on the Communications Systems is intended to be kept confidential within the Company. The Company has taken all reasonable steps to assure confidentiality and security. To achieve our goal of maintaining a safe workplace, everyone must be safety conscious at all times. In compliance with "Ley 31/1995, de 8 de noviembre, sobre prevención de Riesgos Laborales" and to promote the concept of a safe workplace, the Company maintains a "Plan de prevencion de riesgos laborales".

Attendance and Leave of Absence

Punctuality and Attendance

Each of our employees plays an important role in getting the day’s work done. If you are unable to report for work, you are expected to give reasonable notification to your immediate manager. Notification must be made as soon as you are aware that you will not be able to report to work and preferably no later than 30 minutes prior to your regular start time. 

Email and voicemail messages may not be received immediately, so it is required that you communicate in a way that ensures your manager or HR has received your notification and is aware of your absence. 

All absences need to be duly justified (a doctor's note in the case or sickness / accident is absolutely required) and notified well in advance, whenever possible.

Absences such as vacation, paid / unpaid leaves and personal reasons MUST be requested logging into the Cezanne portal. Instructions on using Cezanne are provided in the final section of this course.

Vacation

  • Vacation Period : You will be entitled to 23 working days per year of vacation (or prorated in the case of not completing a full year service)
  • Additionally you will have 16 hours per year of paid leave for personal issues such as medical consultations
  • Bank Holidays: our office in Madrid observes the Work calendar for the Madrid region. You can obtain a copy in the Cezanne Workspace and in the office common areas.

Leave of absence

Employees are entitled to the following paid leaves as regulated by Spanish Law  

  1. Marriage - 15 calendar days
  2. Birth of a son/daughter - 2 days
  3. Serious Illness or family bereavement - 2 - 4 days
  4. Move House - 1 day
  5. Personal or public duties - Necessary time off
  6. Childbirth classes or medical examinations during pregnancy



Employees with +1 year service, can request up to one month unpaid leave


Sick / Accident Leave

The Company will compensate 100% of employees' salary during sick / accident leaves up to a maximum of 12 months.

Employees are required to provide a medical note within the first 48 hours of being absent due to sickness or accident. You can submit this document issued by your family doctor by email to [email protected] This requirement does not replace the need to notify your manager about your absence.

Working Time

The Company standard weekly schedule is Monday to Thursday, from 9:00 to 18:15 and Friday from 9:00 to 15:00. Depending on specific circumstances related to business needs or even of personal nature (maternity for example) this standard timetable may vary. Please refer to your own employment contract or with HR to make sure you know well your working time.

Employees will have several breaks during the day as follows:

  • 15’ mid-morning 
  • 15’ mid-afternoon 
  • 45’ lunch break.

Please check with your immediate supervisor about the best time to make use of them.   

Attendance Records

Employees are required to keep record, as accurately as possible, of their working hours and related activities during the day (especially call agents). It is not necessary to enter short breaks but meal breaks or other long absences must be registered (doctor visits, for instance).

This record will be kept either in an Excel sheet or in a specific software as indicated by your supervisor. Please bear in mind that entering a wrong time-sheet on purpose or completing other employees records is deemed to constitute serious misconduct and as such, may be subject to disciplinary actions.


Salary and Benefits

In order to correctly calculate your payroll and manage your employment contract, please inform Administration as soon as any of the following personal info changes:

  • Your address or telephone number.
  • Family Situation regarding with income tax deductions (marital status or dependents)
  • Your Id or work permit expiry date .


Payroll 

Your monthly payroll will be bank-wired to your account on the last working day of the month..

Variable Remuneration

Some positions receive a variable remuneration - bonus  -which is linked to productivity, attendance records, objectives achievement, performance appraisal, etc.

Please check with Payroll Department for your specific details.


Transportation Allowance

All employees will be entitled to a monthly allowance to cover for 50% of the cost of the travel card within the area of Madrid (except during absences to work such as long term sickness, maternity, etc.) 

Lunch vouchers

Full time employees will receive a meal allowance equivalent to 6,00€ per working day, either in the form of vouchers or included their monthly payslip.

In both cases, the amount is subject to income taxes.

Part time employees will receive a prorated amount .  

Given that the allowance is directly related to the effective work, it will not be provided during vacation periods, sickness, maternity, etc.
