Please list one thing to fix in your work space.

Procrastination. All of us procrastinate about something during our workdays. The last thing you are interested in on a Monday morning is to respond to a mountain of emails on your desktop! If you follow these few simple steps your work flow and productivity can increase substantially. Rearrange your office, get rid of unnecessary clutter. Chances are that if you haven’t used in the last 6 months it can probably go to recycling or storage! Organize your desktop, the essentials are more than enough, notebook a few pens stapler, computer and telephone. The items you use the most should be in arms reach. Develop your own filing system, there are a number of ways you can do this, arrange by client, alphabetical or even by project! There is no right or wrong as long as it matches the way you work. Time management itself, whether you are still old school or connected to the digital age, keeping a running to do list will make sure that appointments and deadlines don’t fall through the cracks. If you are using a smartphone or electronic tool be sure that it does sync to your calendar or running to do list. Communication on a schedule is the way to go! Schedule time in your to do list each day to deal with emails and to return phone calls, I’d recommend in the morning and again in the afternoon. Set the timer on your smartphone, time your tasks 10-15minute increments, mini deadlines for yourself, you will be surprised at the amount of tasks you get done! Be organized, Digitally! Being electronically organized is just if not more important than being physically organized. Create client specific folders, so when a new email arrives you can act on it quickly, because it’s already in the right place. If you have a backlog of mails create yearly folders, and drag all the mails from the respective years into the allocated folders. Finally, minimise all distractions. Turn off email notifications on your smartphone, and your office computer.  Set up specific times for your mailbox to check for new emails. Facebook and twitter have become integrated into some organisations, but can prove a huge distraction for others, keeping mind that this is a social platform, not a work one.  Even muting your notifications will allow you to focus and concentrate better, it will also leave you the opportunity to respond to those social sites a bit later.
