What  factors to consider when planning an Event?

FACTORS TO CONSIDER WHEN PLANNING AN EVENT

Events are an integral part of human life. Events can help create moments and achieve great things in the lives of people.  Events can also be huge time and energy drainers.  Therefore, event planning requires a critical organization and constant attention to detail. If everything goes on well, nothing is noticed, but if something goes wrong, it’s easily noticed. (Gaddy,G. 2010). Therefore, planning is one of the key things you as an Events Manager can do to make any event great. Here are some helpful tips on planning and making any event you intend to plan great.

Have a purpose: Sansbury, (2013) said that great events have a purpose. As an Event Manager, you should have a clear objective of what the event is all about and what is intended for or to achieve.

Develop a budget – This will provide you with a financial “blueprint” for the event. The budget should be specific, and include revenue opportunities,(source of funds.) as well as expenses such as printing, insurance, speakers, food, supplies and security. Maintain good record keeping of all income and expenses. Also, expect the unexpected, extra expenses will come up — so plan ahead.

Share responsibilities: Assign portions of the event to each team member. If everyone has ownership of a piece of the event, details are less likely to slip through the cracks and team members will feel more involved (Gaddy, G.2010).

Have a plan B for Everything: Anticipate which aspects will significantly affect your event, create backup plans for each. Things like power failure, have a generator, rain, have enough tents or extra umbrellas. For great events, always plan in advance.
