This course is set to give you a clear overview of the Top Up Your Town community initiative, run by Outback Travel Centres

Introduction

What is Top Up Your Town?

Top Up Your Town is a program launched to engage the local communities of Carnarvon, Karratha and Newman, with an aim of bringing those communities together. 

Local clubs, charities or events can register to receive funds to help improve the community, providing the funds required enhance the local towns and bring the community together.

Top Up Your Town card holders can nominate a fund (club, charity or event) of their choice and each time the card holder purchases products or fuel from Outback Travel Centres, a donation will be set aside for their chosen fund. 

Every time a Top Up Your Town card holder (local resident) purchases products or fuel from Outback Travel Centres, we will donate:

  • 4 cents per litre on fuel purchased
  • 2 cents per dollar on products purchased

Over time, funds will accumulate and we will present the relevant club, charity or event with a cheque with the funds that have been raised.


Why do we have it?

We want to create an incentive for locals to come out to fuel up with us and eat at our restaurants. We also want to become part of the community - helping local clubs and charities & ultimately providing an alternative to the usual fuel shopper docket.

What is our objective?

  • To increase fuel and store sales from locals
  • Increase engagement with the local community and improve our brand reputation through engaging with good causes in the local community
  • Reduce workload and lack of Return On Investment for sponsorship requests


Who are we targeting?

All local community groups in Karratha, Carnarvon & Newman;  eg. schools, sporting clubs, community organisations & members of those groups.


What's in it for customers?

Customers are rewarded with donations to clubs, charities & events that are important to them.  All they have to do is visit our store and ensure their Top Up Your Town card is scanned on payment transaction.

How does it work?

How does a local club / charity or event join up to Top Up Your Town?

In order for a club to join Top Up Your Town, a member of their team has to register their club / charity or event to receive funds online at topupyourtown.com.au

Here, they have to complete a form including the name & address of their club, and answer questions such as - Why are the funds are needed?
- How will the funds raised benefit the local community?

How do customers support their favourite club, charity or event?

The customer has to pick up a card in store, then activate the card  online at topupyourtown.com.au. Here, they must select the club, charity or event they wish to support. It is important that the card is activated as it allows us to see which club, charity or event they wish to raise funds for.

Every time the customer purchases in store, 4 cents per litre on fuel purchased and 2 cents per dollar spent on products purchased will be donated to their chosen fund.


Identifying Top Up Your Town members

Member Card

All Top Up Your Town members will have a ‘Top Up Your Town’ card to show that they are a member.

Each card has a unique card number and barcode. You need to scan the barcode when the card is presented to you on purchase.


How does it work on the POS system?

A customer wants to register their local sporting club. How do they do this?

  • Explain to you what their club is and what funds they requre
  • Call Outback Travel Centres & explain over the phone
  • Complete a form online at www.topupyourtown.com.au

A customer doesn't know how to activate their Top Up Your Town card. How do you advise they do this?

  • It will be activated when it is scanned on the first purchase
  • Direct them online to topupyourtown.com.au - all cards must be activated online
  • It can be activated by telephone

When is Top Up Your Town launching?

Top Up Your Town has already launched in Carnarvon & is launching (soft) in Newman in December 2016.

We are working on launching in Karratha – there is one club already on board (Karratha Car Club) so you are likely to see cards presented on purchase from December.

Staff Incentives

We will be offering a $100 voucher to incentivise our staff to get Top Up Your Town up and running and engaging local residents & communities. We'll be offering a $100 voucher for the most correctly completed:


  • Club sign ups                                                                            
  • Sales transactions relating to the offer                            

Card Distribution

When you distribute Top Up Your Town cards, please ensure your name is noted next to the card number you have distributed. This should be shared with you by your Manager.

FAQs

The customer wants to sign up

  • Ask if the customer is a local resident
  • Explain Outback Travel Centres are giving a donations to local causes every time a local makes a purchase in store. The card is free and just needs activating at the kiosk and scanning when you make a purchase. Ask if they would like to get involved and have a card?
  • Provide them with a card – advise one is for their wallet and one for their key ring
  • Write your name against the card issue register (for the staff competition).
  • Let the customer know they need to activate the card online
  • They can scan the card now if making a purchase  - as long as they activate it today, they purchase will be recorded


The customer wants to nominate their club, charity or event

1. Provide them a leaflet

2. Explain anyone can submit an idea but all submissions are to be completed online.

3. Point out the web address and advise they visit the website & complete the form.


The customer doesn't want to activate their card

Advise them that donations will only be recorded on active cards.

The reason for this is:

- The card cannot record transactions until it is activated

- This will also verify if they are a resident as the initiative is only available to locals

- We need to know their nominated club, charity or event so the fund raised are nominated for the correct club


The customer wants a replacement card

1. Provide them a card – advice one is for their wallet and one for their keyring

2. Write your name against the card issue register (for the staff competition).

3. Let the customer know they need to activate this online - but on the form they need to select ‘card replacement’.

4. Advise the customer this will save them time as we can transfer all their details to the new card automatically.

5. They can scan the card now if making a purchase  - as long as they activate it today, their purchase will be recorded.


The customer wants to scan two cards when making a purchase

Advise only one card can be scanned for each transaction.

If they wish to split their purchase in to two transactions this is ok.
