DocuSign- Electronic Signing Tool

WELCOME TO THE WORLD OF DIGITAL SIGNING…  

DocuSign is a digital signing tool that allows users to easily send, sign and track various types of documents.  

By creating templates and signing workflows, we can automate the way documents are executed, saving both time and money.  

Any agreement or contract that is signed electronically via DocuSign is legally binding. By using DocuSign the signature becomes less important than the summary and location details of where a person was when they executed.

DocuSign allows signers to review and execute a document from any device at any time. It is compatible with tablets and smart devices. A person signing a document does not need to have an account, only an active email address.

Why DocuSign?

Sending and signing a document electronically is quick and easy. It reduces the amount of time and money spent on printing, scanning, emailing and postage. It allows multiple parties to sign documents simultaneously or in a specific order, giving transparency to all. And most importantly it means we can have documents signed and completed in a matter of seconds rather than days, weeks or even months.

MODULE 2. THINGS TO KNOW BEFORE YOU SEND

IMPORTANT NOTES TO READ BEFORE USING DOCUSIGN


• If you are unsure of how to use DocuSign please refer to the guides and videos all located on the DocuSign section of the property management website. You can also visit the DocuSign support website for more details. If you cannot find the answers you need please ask your nominated SuperUser for advice.


• Please upload completed documents to Docusign once they are in their final form and ready for signing. It is important to minimise the number of envelopes that are ‘voided’. Remember, DocuSign is a signing tool only, documents cannot be amended or edited once the signing process has begun.

• Only use templates that have been added to the DocuSign and procurement section of the property management website. These templates have been created to be recognised by DocuSign. If you use an old version of a document the system will not be able to identify it and the inbuilt signing workflow will not assign correctly.

• If a template you wish to use is not listed in the DocuSign section of the property management website, then it has not been added to the system. If you would like to suggest a new template to be added, please contact your nominated SuperUser who can pass the details on to ISPT for review.

• When a document has been uploaded please ensure each signer has signing tags allocated in the appropriate section of the document. Before you click SEND, review the document to ensure you are sending it to the right people and that they will be able to clearly identify where they need to execute the document.

WHAT IF I NEED HELP?

  • Refer to the ISPT DocuSign Guidelines, visit the DocuSign support website www.docusign.net, contact your nearest DocuSign super user
  • Log a job with IT, email DocuSign and then do nothing

Remember- DocuSign is a signing tool. It isn't designed to create or edit documents, so make sure your document is in its final form before you hit send!
