Project Planning - The Refresher Course

The most important phase in event management, like it or not... is the planning. This two week course will start with what is planning and why is it so important in your occupation. The process of event planning will be looked at and how to effectively create a planning proposal.  Strategic planning will be discussed and how to develop a strategic plan. As you are aware a project has a finite life span and we will look at the phases of the life cycle. With that done and dusted module 2 will cover the phases of project management, who are the role payers and what are they responsible for.  Techniques used in conducting a project will be discussed in depth as this is a very important aspect to cover and be familiar with. Lastly we will look at how to evaluate for success, evaluating does not only occur at the end of a project or event. We will have a look at the importance of evaluating and why it is an ongoing process. Hope you are ready for an interesting two week refresher :-)

Importance of planning

As per Bowdin et al. 2006, the planning process in its simplest form consists of establishing where an organisation is at present, where it is best advised to go in future, and the strategies or tactics needed to achieve that position. Thus this means planning is concerned with the end result and the means to achieve those results. As event management is generally concerned with the end product the planning on how to get there is of great importance. The importance of planning according to Brian Hill, 2017 is:

1.            Efficient Use of Resources – projects with a limited life span requires resources on a part time basis. Planning assists with using resource not always available to their fullest capacity.

2.            Establishing Goals – the main goal is to make a success of the event planned. Planning helps with establishing goals and achieving them.

3.            Managing Risk and Uncertainty – risk and uncertainty is second nature of event planning as there are so many external risk which no one can control, but CAN plan for.

4.            Team Building – all role players in a project has a function and responsibilities. When everyone works in cohesion the team is stronger and the output is of more value.

5.            Creating Competitive Advantages – good planning ensures that you stand out from the crowd and creates a competitive advantage over your competitors.

Without planning, failure is inevitable. With planning the project is clearly defined, expectations are clear, all role players are involved and all tools and techniques can be applied.
