Proper Documents to Complete an I-9

In this course you will learn what types of documents are acceptable to complete an I-9

Documents to Establish Identity and to Establish Employment Authorization.

There are 3 types of acceptable documents

Employees may present one selection from List A or a combination of one selection from List B and one selection of List C

All documents must be UNEXPIRED

List A

Documents that Establish Both Identity and Employment Authorization

  1. U.S. Passport or U.S. Passport Card
  2. Permanent Resident Card or Alien Registration Receipt Card (Form I-551)
  3. Foreign passport that contains a temporary I-551 stamp or temporary i-551 printed notation on a machine readable immigrant visa
  4. Employment Authorization Document that contains a photograph (Form I-766)

List B 

Documents that Establish Identity


  1. Driver's License or ID card issued by a State or outlying possession of the U.S. provided it contains a photograph or information such as name, date of birth, gender, height, eye color, and address.
  2. ID card issued by Federal, state or Local Government agencies or entities, provided it contain a photograph or information such as name, date of birth, gender, height, eye color, and address.
  3. School ID card with photograph

List C

Documents that Establish Employment Authorization

  1. Social Security Card - unless it contain restrictions such as NOT VALID FOR EMPLOYMENT or VALID FOR WORK ONLY WITH INS AUTHORIZATION.
  2. Certification of Birth Abroad issued by the Department of State (Form FS-545)
  3. Certification of Birth issued by a Department of State.
  4. Original or certified copy of birth certificate issued by a State, County, Municipal Authority, or Territory of the U.S. bearing an official Seal

An Employee presented a Passport that expired 3 days ago. Can he/she use it?

  • No, all documents must be UNEXPIRED
  • Yes, it was only a couple of days ago
  • Yes, we don't need UNEXPIRED documents

An Employee presented a Permanent resident card only. Does he/she need an other document?

  • Yes, we always need 2 forms of Identification
  • No, a Permanent Resident Card establishes both Identity and Employment Authorization

John Doe arrives to his orientation

An Employee provided me with a picture/copy of her Social Security Card, can I accept it?

  • Yes, it is an acceptable document
  • No, an employee must present the original documents

An Employee arrived with out the Acceptable Documents. Am I able to proceed with the orientation and receive the documents an other day.

  • Yes, as long as we receive it on the same day
  • No, the orientation must be postponed until he/she is able to provide the documents

An Employee presented a Driver's License and Birth Certificate. Are these documents acceptable?

  • Yes, the documents are acceptable (One from List B and One from List C)
  • No, the documents are not acceptable (One from List B and One from List C)

An Employee Presented a Social Security Card and a Birth Certificate. Are these documents acceptable?

  • Yes, the documents are acceptable (One from List B and One from List C)
  • No, the documents are not acceptable (One from List B and One from List C)
  • No, both documents are from List C
  • Yes, the documents are from List A
