Beginners 'Need To Know' Training

Although we pride ourselves on being 'Easy to use' it's really important to understand how to use our software in a practical environment. 

To achieve this there are some simple steps to follow, which are quickly explained and demonstrated within this interactive training session.

Avoid stating the obvious before you arrive and create reports that don't simply rely on photos.  The written word it vital in the event of a dispute. In this short video, we'll show you how to select a template in seconds and avoid hours of time consuming reporting!

Adding the finer detail can be done via our iOS and Android Apps (online or offline). 

Tip: Our paperless InventorySign® process now enables tenants/occupants to upload a photo within the approval cycle (where appropriate).  This makes our templates more powerful, as it places emphasis upon tenants to interact with their report, leading to a fair, audit trailed approach – reducing the likelihood of disputes (see PDF below for visual diagram of the process).

Work Offline for a much faster experience...

When creating reports at a property using our iOS (Apple) or Android App it's highly recommended that you work in offline mode. This can be achieved in two ways: (1) Work online until prompted to work offline (2) After logging into the App, switch the device to Airplane mode.

Advantages of Working Offline

  • Time spent at properties is reduced as the App will work much quicker.  This is because no data is being sent to the cloud, it's stored to the device instead (until you've finished).
  • No network data or WiFi connection is required.
  • Mobile network data charges need not apply.

The end report should be clear to someone that's never visited the property...

In the worst case scenario, the report you create will be used in a dispute.  Therefore, it's important the pictures give the end reader a feel for the property.  A general overview of the room is a good place to start. Take a picture of the whole ceiling, the walls and the floor. Make sure that this type of picture is taken from different aspects of the room.  For instance, stand in all four corners to capture the best angle. Quick Tip:  Using the volume button on a phone device to take the picture can help steady the lens more easily.  Here’s some good examples:

Only Take Pictures That Need to be Taken

There is no need to take a picture of every tiny detail, you only need to take a picture to show relevant detail. For example, you don’t need to take a picture of every single light bulb in every room. One picture of the whole ceiling would be sufficient and is usually covered by decent ‘General Overview’ pictures. If there’s a problem with one light bulb however, simply take a picture of that, and accompany it with the relevant narrative.

Avoid repeating yourself with the clone tool...

Ceilings, Walls, Floors, Doorframes, Skirtings, Doors, Windows, Sills, Radiators...they're often the same or similar throughout a property.  Our clone tool will enable you to copy descriptions from one room to another, or one floor to another.
